This is our guest policy as it appears in our program contracts:

"Guests, family members and spouses of students and/or faculty are not included in program fees, bookings or reservations. No participants or faculty may bring a guest into program housing or on program activities unless with express written permission at least 3 months before the program start date.

Should a faculty member choose to bring a family member or other guest for any duration of the program, they will be responsible for the difference in housing costs, including tourist taxes and additional rooms. Should a faculty guest choose to participate in any of the program activities or events, they will be charged as an additional participant, at the same cost as students. Barcelona SAE must be made aware of this decision before the deposit is paid, 3 months before the start of the program."

*Important - Faculty guest fees are treated the same as a program fee for students: At least 20% must be paid 3 months before the program start date, and the other 80% is due one month before the program start date.

Don’t worry, this doesn’t mean we are no longer happy to see your spouse or child onsite!! The reason for this policy is mainly to avoid last minute changes to our scheduling, confusion with reservations, and to be sure that our insurance extends to cover all participants.

We ask that you let us know at least three months before arrival onsite of the following:

1. Who will be joining you in your housing, the dates they will be onsite, their date of birth and passport number.
2. Whether or not your guest will be joining for program activities. Unfortunately, activities can not be paid for a la carte from the itinerary. Once your guest has chosen to join as a program participant, (s)he may choose to opt out of activities, excursions, etc. that (s)he does not want to attend, but the program price must be paid in full. If they do not want to join program activities and will only be living with you, then you will only be charged their housing costs.
3. An agreement from your sending school’s study abroad office that they allow for guests on your university’s programs. This can just be a forwarded email showing that they have given permission.

Once we have this information we will provide you with an invoice for the guests’ fees. Keep in mind that most housing in Barcelona has an additional fee per person added to the apartment as well as a tourist tax.

Please keep in mind that while we understand faculty may need to bring family along for programs, students are NOT allowed to bring guests into program housing, etc unless with express permission. Exceptions may be granted on a case-by-case basis, such as a student with needs that require assistance, or a program that is specifically designed for participants to bring a spouse or partner.

Please communicate this policy to your students well in advance. If a participant has friends or family that will be in Barcelona during the time of the program they should be staying in a hotel or hostel (not in the student’s housing) and are not going to be included in any of our events, day trips or activities without express permission before the event.
