FOR FALL 2025 PROGRAMS & PRIOR:

For Non-Financial Aid Students:
Full payment is due at least 45 days before the program start date unless otherwise specified by Barcelona SAE. Students who fail to pay in full within this timeframe will result in a $250 late fee and may risk forfeiting their spot in the program.

For Financial Aid Students:
Students using financial aid must complete the Financial Aid Form in their Barcelona SAE student portal by the post-acceptance form deadline.

• Before the specified invoice deadline, students must pay any portion not covered by financial aid. Students who fail to pay the portion not covered by financial aid will result in a $250 late fee and may risk forfeiting their spot in the program.
• The remaining balance is due within 7 days of the financial aid disbursement date. Failure to pay in full within this timeframe will result in a $250 late fee and may lead to loss of onsite privileges, including potential dismissal from the program without a refund.

FOR SPRING 2026 PROGRAMS & BEYOND:

For Non-Financial Aid Students:
Full payment is due at least 60 days before the program start date unless otherwise specified by Barcelona SAE. Students who fail to pay in full within this timeframe will result in a $250 late fee and may risk forfeiting their spot in the program.

For Financial Aid Students:
Students using financial aid must complete the Financial Aid Form in their Barcelona SAE student portal by the post-acceptance form deadline.

• Before the specified invoice deadline, students must pay any portion not covered by financial aid. Students who fail to pay the portion not covered by financial aid will result in a $250 late fee and may risk forfeiting their spot in the program.
• The remaining balance is due within 7 days of the financial aid disbursement date. Failure to pay in full within this timeframe will result in a $250 late fee and may lead to loss of onsite privileges, including potential dismissal from the program without a refund.

IMPORTANT NOTES:

• Any student with an unpaid balance after the specified deadline will be transferred to collections, where they will become responsible for the unpaid balance plus any and all related collections agency fees. Additionally, information regarding the unpaid balance will be disclosed to the credit bureaus which will affect credit reports and credit ratings.
• There is a $35 fee for all returned checks. Once a check is returned, a money order or cashier’s check is required.
• Transcripts will not be released to the home institution until all balances are paid in full.

Because Barcelona SAE makes financial commitments on behalf of our participants well in advance of the program start date, all students must agree to the Financial Liability Policy listed below. 

IMPORTANT NOTE ABOUT WITHDRAWALS: Every application will remain active unless the student notifies Barcelona SAE in writing at advising@barcelonasae.com of their intent to withdraw. The amount of financial liability will be determined based on the date written notification of withdrawal is received.

FOR FALL 2025 PROGRAMS & PRIOR:

In cases where a participant withdraws for any reason, the following Financial Liability Policy is in place:

For students participating in a SIS, UB, UPF or internship program:

• Withdrawing 60 days or more prior to the program start date will result in a full refund of program cost, with the exception of your $75.00 application fee.
• Withdrawing 45-59 days prior to the program start date will result in a full refund of the program cost, with the exception of your $500.00 confirmation deposit and $75.00 application fee. 
• Withdrawing 30-44 days prior to the program start date will result in a 50% refund of the program cost, with the exception of your $75.00 application fee.
• Withdrawing 1-29 days prior to the program start date or on or after the program start date will result in no refund. 

For students participating in a UAB program: 

• Withdrawing 60 days or more prior to the program start date will result in a full refund of program cost, with the exception of your $75.00 application fee.
• Withdrawing within 30-59 days prior to the program start date will result in a 50% refund of the program cost, with the exception of your $75.00 application fee.
• Withdrawing 1-29 days prior to the program start date or on or after the program start date will result in no refund.

FOR SPRING 2026 PROGRAMS & BEYOND:

In cases where a participant withdraws for any reason, the following Financial Liability Policy is in place:

For students participating in any Barcelona SAE program other than the HBCU Consortium Program:

• Withdrawing 60 days or more prior to the program start date will result in the student being held financially liable for only the $75.00 application fee and $500.00 confirmation deposit. Please note that both the $75.00 application fee and $500.00 confirmation deposit are both non-refundable once paid.
• Withdrawing 30-59 days prior to the program start date will result in the student being held financially liable for the $75.00 application fee and 50% of the program cost.
• Withdrawing 1-29 days prior to the program start date or on or after the program start date will result in the student being held financially liable for the $75.00 application fee and 100% of the program cost.

For students participating in the HBCU Consortium Program:

• Withdrawing 60 days or more prior will result in the student being held financially liable for only the $75.00 application fee and $500.00 confirmation deposit. Please note that both the $75.00 application fee is non-refundable once paid. The $500.00 confirmation deposit will be added to the final invoice.
• Withdrawing 30-59 days prior to the program start date will result in the student being held financially liable for the $75.00 application fee and 50% of the program cost.
• Withdrawing 1-29 days prior to the program start date or on or after the program start date will result in the student being held financially liable for the $75.00 application fee and 100% of the program cost.

PROGRAM CANCELLATIONS

In cases where Barcelona SAE is forced to cancel or suspend a program, the following Financial Liability Policy is in place:

• If the program is cancelled before the program start date, all recoverable costs will be refunded, with the exception of the $75.00 application fee.
• If the program is cancelled on or after the program start date, Barcelona SAE will attempt to refund any portion of the participant’s fees that have not been used or committed. However, it should be understood that refunds are highly unlikely, as many costs are paid upfront to our onsite partners in order to secure a student’s housing, courses, etc. Medical conditions must be documented by a licensed U.S. or Spanish physician with written notification sent to Barcelona SAE. 

SPECIAL CIRCUMSTANCES 

• In the event that a student is expelled from the host institution, deported from the host country, or is dismissed from the program due to a breach of Barcelona SAE’s Code of Conduct, no refund will be given.
• In the event of an early return home due to a serious documented illness, Barcelona SAE will attempt to refund any portion of the participant’s fees that have not been used or committed. However, it should be understood that refunds are highly unlikely, as many costs are paid upfront to our onsite partners in order to secure a student’s housing, courses, etc. Medical conditions must be documented by a licensed U.S. or Spanish physician with written notification sent to Barcelona SAE. 

NON U.S. PASSPORT HOLDERS

For students that are non-US passport holders, please note that it is their responsibility to obtain the necessary visa and supply a copy of this to Barcelona SAE upon receipt. If a student fails to obtain the necessary visa for a Barcelona SAE program and needs to withdraw as a result, the above Financial Liability Policy will apply.

$75.00 APPLICATION FEE

FOR ALL PROGRAMS:

• Students who apply directly through the Barcelona SAE website must pay a non-refundable $75.00 application fee at the time of application.
• Students who apply through their home institution (and NOT via the Barcelona SAE website) will have the non-refundable $75.00 fee added to their final invoice.

$500.00 CONFIRMATION DEPOSIT

• If required by both Barcelona SAE and the home institution, students must pay a $500.00 confirmation deposit to secure their place in the program. This deposit will be applied to the final program balance.
• EXCEPTION: The HBCU Consortium Summer Program does not require the $500.00 confirmation deposit. However, students remain subject to the Financial Liability Policy as outlined.

FOR FALL 2025 PROGRAMS & PRIOR:

• The $500.00 confirmation deposit is due within 2 weeks of acceptance to a Barcelona SAE program. The $500.00 confirmation deposit will be refundable in accordance with the dates listed below.
• If the confirmation deposit is not received on or prior to the specified deadline, the student will risk being withdrawn from the program.
• For students who receive financial aid and are unable to pay the $500.00 confirmation deposit by the specified deadline, they may request for the confirmation deposit to be deferred as an extenuating circumstance until the financial aid funds are disbursed. To qualify for this deferral, the student must contact their Barcelona SAE Advisor for approval prior to the confirmation deposit deadline. However, students granted a deferral remain subject to the Financial Liability Policy as outlined.

FOR SPRING 2026 PROGRAMS & BEYOND:

• Once paid, the $500.00 confirmation deposit is non-refundable under any circumstances. 
• The confirmation deposit must be paid by the specified deadlines below, which are two weeks after our final program application deadline(s) for each term.
  • Summer Programs: March 8th
  • Fall Programs: April 29th
  • Spring Programs: October 15th
• If the confirmation deposit is not received on or prior to the specified deadline, the student will risk being withdrawn from the program.
• For students who receive financial aid and are unable to pay the $500.00 confirmation deposit by the specified deadline, they may request for the confirmation deposit to be deferred as an extenuating circumstance until the financial aid funds are disbursed. To qualify for this deferral, the student must contact their Barcelona SAE Advisor for approval prior to the confirmation deposit deadline. However, students granted a deferral remain subject to the Financial Liability Policy as outlined.

FOR FALL 2025 PROGRAMS & PRIOR:

• Most housing will be in double rooms with students of the same gender (biological sex). If your home institution allows it, you can request a single room on your Housing Preferences Form at an additional cost (if available on a first-come, first-served basis). Please note that single rooms cannot be guaranteed and bathrooms will still likely be shared in most cases. The single room supplement charge is as follows:
  • $300.00/Month (Rounded up to the full month - we do not pro-rate single room supplements for partial months).
• If you request a single room on your Housing Preferences Form, the single room supplement will be automatically added to your program invoice. In the unlikely event that our housing team is unable to grant the request for a single room, a refund for the above amount will be processed.
• Please be aware that there is a chance that other students will also get single rooms even without paying the extra fee by the luck of the draw (similar to if someone pays to get a window seat on a plane and others who didn't pay also get one). 

FOR SPRING 2026 PROGRAMS & BEYOND:
